Privacy Policy

At Sheffield Eurosession we believe that the privacy of everyone’s personal data is important and we are committed to ensuring that we are transparent about how we use any personal data you have shared with us. Our privacy policy outlines how and why we use personal data. This privacy policy was last updated on 21st June 2019.

Sheffield Eurosession

Sheffield Eurosession has been running European music and dance sessions and events since 2005. Anyone is welcome to the sessions and events, and we aim to be as inclusive and accessible as possible. Eurosession is run by a small committee of volunteers who do it because they are passionate about sharing this music and dance. The committee all have access to the data we collect.

Newsletters

If you opt to keep in touch, we will use your name and email to send you email updates about news or events. All personal data is kept securely and for no longer than necessary. We will make sure your information is accurate and up-to-date. We collect your name in order to personalise our emails, which helps to combat spam filters, and to better help you if you book onto an event or make an enquiry. You may unsubscribe from our mailing list at any time – just follow the link in any newsletter or on our website. We won’t give your information to anyone else.

Events

If you have signed up to one of our events and given your contact details (name, email, phone) we will only use this personal information to contact you regarding this event; for example to discuss workshop choices, to let you know if you have a ticket or are on the waiting list, or to contact you in case of cancellation or last minute event changes. We aim to destroy this booking information 3 months after each event. All information is kept secure at all times and you have the right to access any information we are holding on you.

Photographs (or occasionally videos) from our events may be used on promotional material, in the media and on social media accounts.  If you don’t wish to be photographed at an event, you can speak to one of the organisers to let us know. We also aim to obtain written permission from anyone who can be easily recognised in the images we use for Eurosession publicity (flyers, posters, business cards, or on www.eurosession.org.uk).

Contracts with external performers and dance teachers

As an artist or and dance teacher you may share personal and confidential information with us before contracting to receive money for playing music for us or teach at a Eurosession event. Whilst we will generally keep your personal information secure, we may share contractual or your contact information with key contacts in partner organisations within the UK balfolk network, in order to assist with setting up a tour of event dates in the UK.

Data Sharing

We do not give or sell your information to third parties for any marketing purposes. Any information we disclose about you, other than for purposes outlined in this privacy policy, will be if required to do so by law. In the course of our work we may use third party websites (e.g. Mailchimp, Eventbrite, Twitter, Facebook, Instagram, SurveyMonkey, Gmail, and Google Drive). We are not responsible for the privacy policies or practices of such third party websites, or any cookies they may place on your devices.

Your Rights

We want you to feel secure that Sheffield Eurosession processes your personal data in a safe and confidential way. You have the right to see the information we keep on you. And you have the right to withdraw consent to our holding any data in relation to you or your image at any time.

More information regarding data protection and your rights is available from: https://ico.org.uk/.  If you have any questions in relation to this privacy policy, please email us on sheffield.eurosession at gmail.com
