Sheffield Eurosession seeks to protect personal data and is committed to meeting the legal obligations as detailed in the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) 2018. Our privacy policy outlines how and why we use personal data. This privacy policy was last updated on 21 st March 2019.

Sheffield Eurosession
Sheffield Eurosession has been running European music and dance sessions and events since 2005. Anyone is welcome to the sessions and events, and we aim to be as inclusive and accessible as possible. Eurosession is run by a small committee of volunteers who do it because they are passionate about sharing this music and dance. The committee all have access to the data we collect.

If you opt to keep in touch, we will use your name and email to send you email updates about news or events. All personal data is kept securely and for no longer than necessary. We will make sure your information is accurate and up-to-date. We collect your name in order to personalise our emails, which helps to combat spam filters, and to better help you if you book onto an event or make an enquiry. You may unsubscribe from our mailing list at any time – just follow the link in any newsletter or on our website. We won’t give your information to anyone else.

If you have signed up to one of our events and given your contact details (name, email, phone) we will only use this personal information to contact you regarding this event; for example to discuss workshop choices, to let you know if you have a ticket or are on the waiting list, or to contact you in case of cancellation or last minute event changes. We will destroy this information 3 months after the event. All information is kept secure at all times and you have the right to access any information we are holding on you.

Photographs, or rarely, videos from our events may be used on promotional material, in the media and on social media accounts. We will put signs up at the event to let you know who to speak to if you don’t wish to be photographed, and you can let us know in person on the night. We will obtain permission for any images we use specifically for Eurosession publicity (flyers, posters, business cards, or on through written consent.

If we are paying you to perform a service, e.g. play for a concert or dance, we will securely keep your personal information for legal and financial reasons.

How we use your information
Personal information is destroyed after 7 years unless permissions are renewed. The lawful basis that we use for processing the data is that you have given us your consent, e.g. to receive our newsletter or use your image.

Data Sharing
We do not give or sell your information to third parties for any marketing purposes. Any information we disclose about you, other than for purposes outlined in this privacy policy, will be if required to do so by law. In the course of our work we may use third party websites (e.g. Mailchimp, Eventbrite, Twitter, Facebook, Instagram, SurveyMonkey, gmail). We are not responsible for the privacy policies or practices of the third party websites.

Your Rights
We want you to feel secure that Sheffield Eurosession processes your personal data in a safe and confidential way. You have the right to withdraw consent to our newsletter or use of your image atany time. You have the right to see the information we keep on you. This is a ‘Subject Access Request’.
